What are the available insurance protection packages?

There are three levels of insurance protection so renters can choose the most suitable level of protection for their needs. Each level provides different collision coverage, liability coverage, and additional services. You can find these packages in the booking process on eligible rentals. Package pricing varies with each rental. Pricing is determined by a variety of factors, including vehicle type and value.

Owners and renters are protected with $1 million in liability coverage, and $500,000 in comprehensive and collision coverage. This coverage applies to all of our vehicles and when we have provided the keys to a verified driver.

Here are the three choices of insurance coverage for renters:

What happens if I cause minor damage to the vehicle?

Once you pick up the rental, you’re responsible for any damage that occurs during the rental period. (Make sure you are aware of what your insurance covers and what you’re responsible for on the road). Unless your bundle includes interior damage protection, this doesn’t cover certain things like interior damage NOT caused in a collision. If the minor damage is less than the insurance deductible of $1,500 and your security deposit doesn’t cover the full amount of the damage, then you as the renter are responsible for the payment and will be charged by Sugarbear Express. If the damage is less than the security deposit, then the owner may withhold a portion of it and return the rest to you. If you have any questions or concerns please contact us.

When you return the RV, talk honestly to the represenative about the damage. The RV Return Form you fill out with SBE will confirm the condition of the RV when you picked it up and when you returned it.

A fine of up to $5,000 may be charged to the renter for any non-towable vehicles in the event they have been identified as violating festival policy, owner policy or restrictions, or any aspect of the SBE rental policy.

What are the mileage and generator fees?

Our rentals include a base amount of miles and hours for free, and then charge for additional usage. At this time our rentals come with 100 miles per night free of charge. For example, if your reservation is for seven nights then you will get 700 miles for free, anything over that will be charged at .49cent per mile. The same concept is applied to generator usage. You will get 4hrs per night for free and overages are charged at $3.00 per hour. Very seldom do we have any customers incur any significant generator charges.

What are the Cancellation and Reservation Deposit Policies?

We use three standardized cancellation policies (Flexible, Moderate and Strict) Please refer to the vehicle listing to find the assigned cancellation policy. The vehicle’s cancellation policy determines the amount of the renter’s reservation deposit. 25% of reservation total is charged to all bookings made 14 or more days in advance.

If a booking is less than 14 days away, the reservation is charged in full. If a booking is more than 14 days away, renters have the option to pay the reservation deposit in two installments the first being a partial reservation deposit, the second a reservation remainder to be paid 14 days before the booking start date.

A 48-hour grace period after booking is granted for renter cancellations made more than 14 days in advance. If canceled during this grace period, a full refund “including all fees” will be issued to the renter.

All cancellation policy refund amounts are calculated from the total rental amount before fees, and not from the reservation deposit.

Flexible:

  • Reservation deposit (25% of full trip cost) is refundable (minus fees) if canceled more than five days prior to booking start date
  • If the renter has paid in full and the booking is canceled more than five days prior to booking start date, a full refund (minus fees) is issued
  • If canceled less than five days prior to booking start date, a partial refund of 75 percent of the full rental amount (minus fees) is issued, but the reservation deposit is non-refundable.

Moderate:

  • Reservation deposit (25% of full trip cost) is non-refundable
  • If the renter has paid in full and the booking is canceled more than seven days prior to booking start date, a partial refund of 75 percent of the full rental amount (minus fees) is issued
  • If canceled less than seven days prior to booking start date, a partial refund of 50% of the total rental amount (minus fees) is issued

Strict:

  • Reservation deposit (50% of full trip cost) is non-refundable
  • If the renter has paid in full and the booking is canceled more than 14 days prior to booking start date, a partial refund of 50% of the full rental amount (minus fees) is issued
  • If canceled and the renter has only paid the reservation deposit, no refund is issued
  • If canceled less than 14 days prior to booking start date, no refund is issued

If the renter feels there are unique or extenuating circumstances in their booking, SBE must be notified within 24 hours prior to booking start date.

U.S. military service members are eligible for a full refund if their cancellation is due to them, or a family member, entering active military duty.

SBE reserves the right to have sole and absolute discretion in all cancellation amounts and disputes.

How do I pick-up/drop-off a vehicle?

You will have the option to pick up your rental either in Springdale Ar or Bentonville Ar. We also offer delivery for $3.90 per mile round trip.

During both pick-up and drop-off, you will need to allow extra time for walkthroughs, operational instructions, signing of forms, damage inspections, etc. Plan accordingly!

  • During pickup, give yourself 30-60 minutes to complete everything.
  • During drop-off, give yourself 30 minutes.

Note: Make sure you complete the renter departure & return checklist with your SBE representative. It’s important documentation for both renters and owners when it comes to claims.

Is there a pet policy?

We know our furry friends are a part of the family but at this time we can only allow small non-shedding lap dogs that are 15lbs or less. A pet fee of $75 will be added to the reservation. Any pets that have not been approved by a SBE representative will result in a full deposit forfeiture.
